Planning an event outside of normal building hours? Let IT Physical Security help coordinate the access you need.
If your event requires a building or specific exterior doors to be unlocked outside of normal operating hours, an approved Weekend/After-Hour Event Support Agreement must be completed before IT Physical Security (ITPS) can program the event.
The request should include the event date and times, building and room locations, event point of contact, expected attendance, and the specific exterior doors that will need to be unlocked.
Complete the entire form. Please ensure ALL sections of the request form are completed before submitting it. Complete and accurate information is necessary for IT Physical Security and the other supporting departments to properly review, approve, and fulfill your request. Missing or incomplete information may delay processing and could prevent the requested building access from being programmed correctly.
Before IT Physical Security can schedule or program after-hours building access, the request must first be approved by the appropriate Building Coordinator. The Building Coordinator confirms approval for the building to be unlocked or locked and identifies whether the event will use badge access or key access.
IT Physical Security cannot program an after-hours event until Building Coordinator approval has been received.
Please submit the completed event form using Box Sign.
Do not send the form as a standard Box share or shared Box link.
When creating the Box Sign request, use the signing order/form flow so the document is routed to each required approver in the correct sequence. The Building Coordinator should receive and approve the request before it is routed forward for additional approvals and IT Physical Security programming.
Depending on the event, additional coordination or approvals may be required from areas such as AU Police, Parking, Environmental Services, Facilities, or other university support services.

Completed requests must be submitted at least three business days before the event. Requests received inside that window may be denied.
For events requiring tables or chairs, a minimum of seven days' notice is required and requests are subject to availability.
An event point of contact must be available to admit guests through the approved entrance. Exterior doors may not be left open and unattended. If maintaining an attended entrance is not feasible, the event may require an AU Police Officer.
