Sick Leave
All full-time benefited employees accrue paid sick leave at a rate of 8 hours per calendar month of service. Benefited part-time employees accrue at an equivalent ratio to their percentage of employment (i.e., half-time employees accrue at half the rate of full-time employees). There is no limit to the amount of sick time an employee may accrue and carry into the next calendar year.
An employee must be hired on or before the 15th of the month to accrue leave for that month.
An employee must have worked through the 15th of the month or have returned from Leave by the 15th of the month to accrue leave for that month. Sick Leave is accrued on the last working day of the month.
Use of accrued sick leave may be granted at the discretion of the university and upon approval of an immediate supervisor for any of the following reasons:
Use of paid sick leave should be reported to Payroll via OneUSG Connect. In all cases, a day of sick leave will be computed for purposes of pay and time based on the employee's regular workday.
Unused sick leave is forfeited upon termination, except when allowed to be used towards retirement calculations (TRS participants only).
Shared Sick Leave Program
The Shared Sick Leave Program allows all regular, benefits-eligible employees of Augusta University with a work commitment of one half time (20 hours a week) or more to voluntarily contribute unused sick leave to a pool for use by another benefits-eligible employee who is also a member of the program and who is experiencing a serious health condition or whose immediate family member is experiencing a serious health condition and who has used all of their accumulated paid leave.

Full-time benefited employees working in positions that require 12 12-month work commitment accrue vacation leave as follows:

Benefited part-time employees accrue at an equivalent ratio to their percentage of employment (i.e., half-time employees accrue at half the rate of full-time employees). Administrative Officers and 12-month Administrative Faculty accrue 14 hours per month regardless of years of service. Vacation hours may only be carried over each January 1 at a maximum of 360 hours.
Except for unseen emergencies, vacation hours should be scheduled as far in advance as possible. Requests to use vacation hours must be approved by the employee's immediate supervisor. Use of paid vacation hours should be reported to Payroll via OneUSG Connect whenever applicable or otherwise via Leave Request/Report Form. A terminating employee will be compensated for unused vacation hours up to a maximum of 360 hours.
Departments no longer have the ability to submit the absence request for an employee. All absence requests to include extended leave need to be requested by the employee through OneUSG Connect.
Extended absence requests are made for sick leave greater than 5 consecutive days.

Returning to Work
To return an employee from extended leave, a department must send notification by emailing Chris Hunt at chunt@augusta.edu. Please include the following information:

Leave to supplement work-life balance by providing eligible employees with up to eight (8) hours of leave per calendar year to participate in activities related to student achievement and academic support that supports education in Georgia.
Leave that is granted to regular employees for the purpose of serving on a jury or as a witness. Such leave shall be granted upon presentation of official orders from the appropriate court.
Leave for ordered military duty performed in the service of the State or the United States.
Leave to permit employees to vote in any municipal, county, state or federal election
Leave designed to enable the eligible employee to care for and bond with a newborn or newly adopted or newly placed foster child of the eligible employee.
Leave to permit employees to donate blood or blood platelets at a campus or off-campus location.
Regular full-time and regular part-time benefits-eligible employees may request personal leave without pay for reasons other than those provided in other leave categories. Employees must complete the Leave of Absence Without Pay Notification Form prior to beginning leave without pay. An employee's supervisor and department head my approve a personal leave without pay for a period not to exceed 14 calendar days. A request for personal leave without pay that exceeds 14 calendar days requires approval of the President of Augusta University and must be submitted to the Vice President for Human Resources, who is the reviewing official.
