Preparing an Extramural Grant Proposal

FIND FUNDING OPPORTUNITIES

Begin by identifying potential funding agencies:

Agency websites provide information regarding their funding priorities, who is eligible to apply, deadlines, proposal formats, budgetary restrictions, and other issues.

CREATE A PROPOSAL

Once an appropriate funding opportunity has been identified and you plan to submit an application for a posted deadline, you must notify the office of the Associate Dean for Research by submitting the Research Proposal Request Form in order to identify special requirements. Advanced notification is especially important if your project involves contractual arrangements with other institutions.

Your project will undoubtedly involve an array of regulatory considerations including human research protection, biosafety, legal issues, biostatistics support, and more.

WRITE THE GRANT

General grant writing assistance is available through Health Research Associates. In addition, Augusta University will provide Extramural Grant Reviews by experts in the field who can critique the scientific and technical aspects of your proposal. For these resources to be helpful, you must provide a reasonably complete document, proofread by one or more of your colleagues, submitted well before the grant deadline to allow sufficient time for review and feedback.

PREPARE THE BUDGET

The Office of the Associate Dean for Research assists in developing the budget for routing through eSproute to DSPA. The budget should be finalized and routed before the proposal application is completed. It is important to begin the budgetary routing process as soon as possible as this can be time-consuming and may hit unexpected delays. Most agencies have unique budget guidelines and restrictions found in the RFP announcement.

Should the sponsor not fully cover salaries or other costs of the project, CAHS must provide some financial support for the project (cost sharing), necessitating a completed Cost Sharing Authorization Form for any CAHS personnel involved, but NOT for personnel in other colleges that have separate policies to track cost sharing.

If your project involves MCG faculty or AU Health System resources, you must also send routing materials electronically to  Research Development Services (see link on left of that page for Hospital Research Approval Process).

These reviews and approvals are necessary because funds are not awarded to you directly, but rather to the Augusta University Research Institute, Inc.. Responsibility for managing these funds is shared by many individuals at Augusta University, as described in the Roles & Responsibilities Overview
